Controlled validation operation

IT offboarding & device return for Swiss SMEs

One employee exit. One device. One cleanly closed case.

ITBox organises the collection of company devices, documents every handover step and delivers complete closing documentation — from a single device, with no minimum fleet and no platform project.

  • From a single device
  • Written review within one working day
  • No shipment yet, no obligation
  • 01From a single device
  • 02Documented handover process
  • 03From Malters LU

The IT account is closed

The device case is not.

The laptop is still with the employee. Who actually closes the case?

At exit, the user account is locked. The company device is still at the home office. Packaging, contact, return shipping, tracking, intake and the data question then split across HR, IT and administration. ITBox gathers the physical device case into one documented process — through to a written closing overview.

01

Device outside the company

The return path is unclear, materials are missing and nobody owns the full process.

02

Responsibility split across teams

HR knows the exit, IT locks accounts, administration tracks the parcel — but the device case stays open.

03

No clean closure

Without documented intake, clarified media and a written result, it remains unclear what actually came back and what may happen next.

ITBox does not take the employer’s role. ITBox organises and documents the agreed device process on behalf of the company.

One clear process instead of scattered tasks

From the first online check to closing documentation

  1. 01

    Check the case online

You submit operational facts only. No employee address, no serial number, no passwords and no files.

  2. 02

Prepare the return and the mandate

ITBox reviews scope, battery, possible locks and the required documents in writing. Only then is it decided whether and how the case can start.

  3. 03

    Coordinate the ReturnKit and shipment

After written release, packaging, instructions, the return path and status communication are prepared for the agreed case.

  4. 04

    Document intake, device and media

Intake is recorded under control. The device and each identified medium receive separate references. Unclear deviations stop the process.

  5. 05

Receive closure and the next decision

You receive the agreed results, open deviations and a clear recommendation for the next step.

The online review is not yet an order. A shipment happens only after written confirmation of scope, price and prerequisites.

Two packages. One clear difference.

How far should ITBox take the case?

The prices support controlled market validation. The definitive scope is confirmed in writing before every engagement.

Review Secure

The prices apply to the controlled validation operation. Before a binding engagement you receive written confirmation of scope and price.

The definitive price depends on the device, number of media, battery condition, locks, return path and the desired result.

For a limited number of suitable cases, separate pilot terms may be offered after the review. There is no entitlement to a pilot condition.

Non-binding case review

Does the case fit the current pilot scope?

Answer a few operational questions. Please do not submit employee data, private addresses, serial numbers, passwords, recovery keys or files.

Takes about 2–3 minutesYour details are used only for the written review of the case.

Step 1 of 5

Who is reviewing the case?

We then show only the matching questions.

The record is part of the product

Not just collected. Traceably closed.

You do not receive a loose collection of emails, but a structured closing overview of the agreed device case.

For IT system houses and IT partners

You run the IT. ITBox closes the physical device case.

You keep the customer, the IT context and the existing service relationship. Depending on the model, ITBox takes the ReturnKit, the physical return, documented intake and the agreed closing documentation.

ITBox does not deliver Microsoft 365, helpdesk, network, backup or cybersecurity services and does not cross-sell into those areas.

  • reviewable from a single case
  • clear roles and responsibility
  • referral or co-branding in the validation phase
  • white-label delivery after contract and process review
  • protection of the existing customer relationship
  • no takeover of the ongoing IT mandate

Referral and co-branding are possible in the pilot. We review a white-label model individually.

Review the partner model

Non-binding written review. No partner approval yet and no minimum volume.

Prices, branding and responsibilities are set only after scope, volume, liability and task split are clarified.

A device is not automatically a medium

Every critical step must be cleared before the case moves on.

A laptop can contain several media. ITBox therefore records not only the device but each identified medium separately. The case is closed only when the agreed status is fully clarified.

No automatic release. Uncertainties are cleared first. Release is given by a named person — never automatically.

01

Numbered handover

ReturnKit, seal and intake are assigned to the specific case.

02

Device and media kept separate

Several media receive several results. An uncleared medium blocks closure.

03

Unclear means stop

Unclear ownership, damaged batteries, locks or unconfirmed results are not released “on sight”.

04

Human release

Critical decisions are not taken by a tool or an automatic message alone.

FAQ

Common questions

How many devices is ITBox suitable for?

The current pilot is designed for individual devices and small return cases. The standard review starts from a single device. Cases with more than ten devices are reviewed separately.

Does the employee have to call ITBox?

No. The standard process is written and asynchronous. If clarification is needed, it is done in writing first. Human support can be organised separately if required.

Which devices fit the pilot?

The standard scope focuses on Windows business laptops, desktops and mini-PCs with HDD, SATA SSD or NVMe. MacBooks, smartphones and tablets are accepted only after individual review. Servers, RAID systems and data recovery are outside the standard scope.

What happens with a damaged or swollen battery?

Please do not ship the device. Damaged or swollen lithium batteries are excluded from the standard ReturnKit. Select “damaged” or “not sure” in the form; ITBox then reviews a safe alternative in writing.

What does documented data erasure mean?

The medium is identified, assigned to a confirmed method and the result is documented. A tool report alone does not trigger release. ITBox does not promise “100% secure” or “NIST-certified” erasure.

What about MDM, Autopilot or Activation Lock?

Such locks must be removed by the authorised customer or their IT partner. ITBox does not bypass management or theft locks. An open lock can block the Secure process.

Does ITBox buy the devices?

Not as standard in the validation phase. ITBox does not finance speculative stock. Later reuse, return or another disposition is reviewed only after a separate written decision.

Is ITBox a disposal company?

No. ITBox does not describe itself as a disposal company and does not operate its own recycling plant. If recycling is needed, it happens only through a separately qualified partner and after written release.

Can a system house use the service under its own brand?

Referral and co-branding can already be reviewed in the validation phase. White-label delivery requires a clarified contract, liability, role and quality model. The IT partner keeps the customer relationship.

When does the online review become a binding order?

Only when ITBox confirms scope, price, prerequisites, documents and operational readiness in writing and the customer accepts those terms. The form itself is not an order and not a shipping release.

Review the case before packaging, data and responsibility are split across several teams.

The online review shows whether the current case fits the pilot scope, which package makes sense and which prerequisites must be cleared first.

Non-binding. In writing. Not yet an order and not a shipment.
